This Privacy Policy explains how VyntaOne (“VyntaOne”, “we”, “us”) collects, uses, and protects information when you use our scope-management application (the “Service”).

Information we collect

• Account data: your name, email, and hashed password.
• Content you create: projects, scope documents, change orders, and messages you paste into the communication log.
• Payment connection data: for collecting from your clients you connect your own Razorpay/PayPal account; those API secrets are encrypted at rest and used only to create payments on your behalf.
• Usage & security data: IP address, browser/user-agent, and timestamps, used for security, rate limiting, and our audit log.

How we use it

To provide and secure the Service, generate change orders and reports, process subscription billing, and send transactional emails. We do not sell your personal data.

Sub-processors

We rely on third parties only as needed: payment processing (Paddle for our subscriptions; your connected Razorpay/PayPal for client payments), transactional email (Resend), and optional AI text-structuring (Anthropic) which only runs when you explicitly use the “Clean up with AI” feature. The core scope comparison runs without any AI.

Data retention & your rights

We keep your data while your account is active. You may request access, correction, export, or deletion of your data by contacting us. Deleting your account removes your projects, scopes, and connected payment credentials.

Security

We protect your data with strong, industry-standard safeguards: encryption in transit and at rest, one-way hashing of credentials, encrypted storage of any payment keys you connect, and access controls including request-origin checks and rate limiting. No system is perfectly secure, but we follow current best practices and keep them up to date.
